What is changing

QCPP ends. The Quality and Safety Pharmacy Program takes its place from 1 October 2026.

The Pharmacy Guild's Quality and Safety Pharmacy Program (QSPP) replaces the Quality Care Pharmacy Program. It is not a renamed checklist. Three things change, and each one changes what a pharmacy has to be able to show.

One

A new standard

Pharmacies are assessed against AS85000:2024, the Australian Community Pharmacy Standard, across four domains: clinical governance and leadership; safely delivering medications and pharmacy services; partnering with consumers and the community; business governance and operations.

Two

A new cycle

Accreditation runs on a three-year cycle with a virtual mid-cycle review, tiered by the services the pharmacy delivers. EY is the assessment partner.

Three

A new kind of assessment

Assessors examine records, observe practice and interview staff. The question is how quality and safety are embedded in everyday work, not whether a folder of documents exists.

What goes wrong

A pharmacy can run well every day and still have nothing to show for it.

The reconstruction before the visit

Months of activity pieced together from folders, inboxes and memory in the weeks before an assessment. Under QSPP the evidence has to be the record of daily practice, made at the time by the person who did the work.

The staff file that is never whole

A contract in one drawer, a police check in another, a first-aid certificate that expired in March and a policy that half the team has not signed. An assessor who interviews staff finds the gap in minutes.

The renewal nobody owned

Premises registration, professional indemnity, workers' compensation, the S8 authority: each with an issuer, an expiry and a clause that asks for it, and no single place that says which one is due next.

What PharmacyPulse does

The work is recorded once, at the time, by the person who did it. The evidence follows.

A file for every staff member

Contract, position description, clearances, certificates and sign-offs in one file, with what is outstanding shown against each person and each role's requirements matched to the role.

Onboarding that runs itself

A new starter receives the starter pack, sets a password and works through every document in their own account. The manager sees what is signed and what is not.

Policies, grouped by QSPP domain

Every policy is read and accepted by the people it covers and signed again when it changes. Who has signed, and when, is the record.

Formal registers

Incidents, HR feedback, registrations and insurances, certificates, contracts and surveys. Each entry is dated and attributable; nothing is deleted, only superseded.

The store terminal

Daily checks, fridge temperatures and cleaning are recorded on the shared terminal as they are done, judged against their limits, and escalated when they fail.

The assessor pack

The registrations, certificates, policies and registers an assessment asks for, listed by QSPP clause with what is current, expiring and missing, and printed in one document. The visit becomes a reading exercise rather than a hunt.

Three views, one record

The store

The shared terminal on the counter: today's checks, the fridges, the cleaning, the incident form. No personal sign-in needed.

The office

The director's and manager's view: people, contracts, registers, policies, reports, the assessor pack and administration.

My record

Each staff member's own account: their documents to sign, their certificates to keep current, their HR feedback.

Your pharmacy's records are protected

Employment records, clearances and incident reports are held the way they should be.

Held in Australia

The pharmacy's records are stored in Sydney, in a database that is backed up daily.

Each pharmacy walled off

Every record carries its pharmacy, and the database itself refuses a request from anyone outside it. A test of that isolation runs with every release.

Encrypted in transit

Every connection to PharmacyPulse is over HTTPS. Card and bank details are entered with the payment provider and are never held by PharmacyPulse.

A second factor for everyone

Every person signs in with a password and an authenticator code. Staff see their own record and nothing else; the shared store terminal has its own login and holds no personal records.

Nothing deleted

Records are superseded and dated, never erased, and an append-only log records who did what and when.

Access by role

What a person can open, record or approve follows their role at the pharmacy, set by the director and changeable at any time.

Questions a pharmacy owner asks

Is PharmacyPulse affiliated with or endorsed by the Pharmacy Guild or the QSPP?
No. PharmacyPulse is an independent product of Property Stack Pty Ltd. It assists with record-keeping and assessment preparation; it does not guarantee accreditation and does not replace professional compliance advice.
Does it include policy templates?
Yes. A standard policy set and the new-starter pack are issued to every pharmacy, grouped by QSPP domain. Each policy is reviewed and adopted by a director before staff are asked to sign it.
Can I upload the pharmacy's existing policies and documents?
Yes. Existing documents are uploaded to the pharmacy's own library, issued to the people they cover and signed in the same way.
Can staff see only their own documents?
Yes. A staff member's account shows their own record: documents to sign, their certificates and their HR feedback. The office, the registers and other people's files are open only to those who hold an office.
Can one owner manage several pharmacies?
Yes. A group holds each of its pharmacies under one organisation; a director adds the next pharmacy from Administration. Each pharmacy is subscribed and invoiced on its own, as its own entity, and pharmacies in a group do not see one another's records.
Can a pharmacist work across several pharmacies?
Yes. A person is a member of each pharmacy they work at, with the role they hold there, and signs in once.
Are reminders sent automatically?
Yes. Expiring registrations and certificates, unsigned documents, unreviewed policies and open matters are raised with the person responsible, in the app and by email.
Does it replace payroll or dispensing software?
No. PharmacyPulse holds the people, the policies, the registers and the evidence. Payroll and dispensing stay where they are.
How long does set-up take?
The pharmacy is created the moment payment details are entered. Set-up is twelve guided steps; how long they take depends on how many staff and documents there are to enter, and each step can be returned to later.
Is there a free trial?
No. The first month is charged when payment details are entered, and the subscription runs monthly from then with no contract and no minimum term. Cancel at any time from Administration › Billing.
Can the assessor pack be downloaded?
Yes. The assessor pack, the registers and the contact list each print to PDF from the page.
What happens to the records if I cancel?
Access runs to the end of the paid month, during which the assessor pack and every register can be printed to PDF. A copy of the pharmacy's records can be requested from support before the subscription ends.
Where is the information stored?
In Australia, in a Sydney data centre, with daily backups.
Is help available with set-up?
Yes. Write to support@pharmacypulse.com.au; the setup steps also explain what each one needs and why.
